Effective Date: 28th April 2026
These Terms & Conditions, Non flight packages, non-refundable deposit, full amount payable two months before the event, 30 days before the event full amount paid can’t be refunded, but in some unforeseen, extreme circumstances, and by PQR’s Director(s) discretion 50% may be granted towards the next event but to be credited to that event within 12 months of the event that was paid for and govern all bookings, attendance, participation, and services provided by Phoenix Queens Retreats ("PQR"), Phoenix Queens Ltd).
By booking a retreat, event, workshop, excursion, or related service, you agree to these Terms.
1. ABOUT US
Phoenix Queens Retreats is a women's wellness retreat company providing wellness experiences, educational workshops, cultural excursions, personal development activities, and related services in various international destinations. To include, but not limited to Yoga, Facial Yoga, Skincare, Crystal Healing
2. ELIGIBILITY
Participants must:
• Be at least 18 years of age unless expressly stated otherwise.
• Complete all required registration and health information forms.
• Comply with retreat rules, venue policies, local laws, and staff instructions.
• Possess valid travel documentation, visas, vaccinations, and insurance where required.
We reserve the right to refuse participation where attendance may pose a risk to the participant, other guests, staff, or the retreat operation.
3. WOMEN-ONLY RETREATS
Phoenix Queens Retreats operates retreats specifically designed for women.
Participation eligibility will be determined in accordance with applicable laws in the jurisdictions where retreats are operated.
We reserve the right to establish admission policies necessary to maintain the purpose, privacy, safety, and integrity of women's retreats.
4. BOOKINGS
A booking is confirmed only when:
• The booking form is completed.
• The required deposit or full payment is received.
• Written confirmation has been issued by Phoenix Queens Retreats.
We reserve the right to decline any booking.
5. DEPOSITS
Unless otherwise stated:
• Deposits are non-refundable.
• Deposits secure your place only.
• Remaining balances must be paid by the specified deadline.
Failure to pay by the deadline may result in cancellation of your booking and forfeiture of amounts paid.
6. PRICES
Prices include only those services expressly listed in the retreat package.
Unless stated otherwise, prices do not include:
• Flights
• Travel insurance
• Visas
• Passport fees
• Vaccinations
• Personal expenses
• Alcohol
• Optional excursions
7. CANCELLATION BY PARTICIPANT
Written cancellation is required.
The following charges apply:

61–90 days 50% refund of payments made
31–60 days 25% refund of payments made
Less than 30 days No refund
Any exceptions are entirely at our discretion.
Participants are strongly advised to purchase comprehensive travel insurance.
8. CANCELLATION BY PHOENIX QUEENS RETREATS
We may cancel a retreat due to:
• Insufficient participant numbers
• Safety concerns
• Natural disasters
• Government restrictions
• Political instability
• Public health emergencies
• Venue closures
• Circumstances beyond our reasonable control
Where cancellation occurs, we may offer:
• Alternative dates
• Retreat credit
• Partial or full refund of retreat fees
We are not responsible for costs incurred outside amounts paid directly to us.
This includes:
• Flights
• Accommodation booked independently
• Travel expenses
• Visa costs
• Insurance premiums
9. FORCE MAJEURE
We shall not be liable for delays, interruptions, changes, or cancellations caused by events beyond our reasonable control including:
• War
• Civil unrest
• Terrorism
• Epidemics
• Pandemics
• Government actions
• Extreme weather
• Natural disasters
• Transportation disruption
10. HEALTH AND FITNESS
Participants are responsible for determining whether retreat activities are suitable for them.
You confirm that:
• You are physically and mentally capable of participation.
• You have disclosed relevant medical conditions.
• You understand wellness activities involve inherent risks.
We may require medical clearance before participation.
11. MEDICAL DISCLOSURE
Participants must disclose:
• Medical conditions
• Allergies
• Dietary requirements
• Mobility restrictions
• Medications affecting participation
Failure to disclose relevant information may result in removal from activities without refund.
12. ASSUMPTION OF RISK
Participants acknowledge that activities may involve risks including:
• Physical injury
• Illness
• Emotional discomfort
• Environmental hazards
• Travel-related risks
Participation is voluntary and undertaken at the participant's own risk.
Nothing in these Terms excludes liability for death or personal injury caused by our negligence where exclusion is prohibited by law.
13. TRAVEL INSURANCE
Comprehensive travel insurance is mandatory.
Insurance should cover:
• Medical treatment
• Emergency evacuation
• Trip cancellation
• Personal belongings
• Adventure activities where applicable
Proof of insurance may be requested.
14. CODE OF CONDUCT
Participants agree to:
• Treat others respectfully
• Respect local cultures and customs
• Follow safety instructions
• Avoid abusive, discriminatory, threatening, or disruptive behaviour
We reserve the right to remove any participant whose conduct adversely affects others.
No refund will be provided in such circumstances.
15. ALCOHOL AND SUBSTANCES
Illegal drugs are strictly prohibited.
Participants are responsible for their own alcohol consumption, if they wish to consume alcohol it will be off retreat site/campus, as the retreat is promoting wellness but will not restrict or prohibit retreat guests from going into local establishments if they so wish as long as it is not a disruption to other guest or neighboring residents.
We reserve the right to restrict participation in activities where intoxication creates safety concerns.
16. PHOTOGRAPHY AND MEDIA
Photographs and videos may be taken during retreats.
By attending, participants grant Phoenix Queens Retreats permission to use images for:
• Marketing
• Social media
• Promotional materials
• Website content
Participants may opt out by notifying us in writing before the retreat begins.
17. INTELLECTUAL PROPERTY
All retreat materials, workbooks, recordings, presentations, branding, and content remain the intellectual property of Phoenix Queens Retreats.
Materials may not be copied, distributed, sold, or reproduced without written permission.
18. DATA PROTECTION
Phoenix Queens Retreats processes personal data in accordance with applicable privacy laws, including UK GDPR and, where applicable, EU GDPR.
Information collected may include:
• Contact details
• Emergency contacts
• Health information
• Dietary information
• Booking records
Health information is collected solely for participant safety and operational purposes.

19. LOCAL LAWS
Participants must comply with all local laws and regulations of the destination country.
Any fines, penalties, legal costs, or losses arising from a participant's actions shall be their sole responsibility.
20. COMPLAINTS
Complaints should be raised immediately during the retreat where possible.
Formal complaints must be submitted within 14 days of the retreat ending.
We will investigate and respond within a reasonable period.
21. LIMITATION OF LIABILITY
To the maximum extent permitted by law:
Phoenix Queens Retreats shall not be liable for:
• Loss of enjoyment
• Indirect losses
• Consequential losses
• Missed travel connections
• Personal property loss or theft
Our total liability shall not exceed the amount paid directly to us for the relevant retreat.
Nothing in these Terms limits liability where such limitation is prohibited by law.
22. GOVERNING LAW
These Terms shall be governed by the laws of United Kingdom.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection laws in another jurisdiction require otherwise.
